Opportunity: Administrative Assistant

Where: Topsfield Fair Administration Office, Topsfield, MA

Length: Full-time, Monday-Friday, Additional and weekend hours will be required during peak-season (September-October)

General Description:

The Administrative Assistant will report directly to the General Manager and assist with year-round preparation for the Topsfield Fair. This position provides administrative and clerical support to the General Manager and office staff while helping ensure the efficient daily operation of the Fair’s administrative office.

Duties and Responsibilities:

  • Answer and direct incoming calls on a multi-line telephone system, including taking messages and transferring calls.
  • Manage documents, including copying, scanning, filing, and faxing.
  • Handle all mail operations, including opening, sorting, and distributing incoming mail, as well as preparing outgoing mail.
  • Respond to inquiries received through the Fair’s website and other digital communication channels.
  • Greet and assist clients, visitors, vendors, and guests upon arrival.
  • Assist with major events and activities held on the fairgrounds.
  • Support daily office operations as needed, including duties related to Accounts Payable and Accounts Receivable.
  • Run occasional business-related errands as needed.
  • Perform other duties as assigned.

Education:

  • High School or equivalent (Preferred)

Requirements:

  • Strong phone skills, including both answering and placing calls professionally.
  • Proficiency with Microsoft Office Suite and Google Workspace applications.
  • Strong interpersonal skills; team-oriented, adaptable, and willing to learn new skills and processes.
  • Excellent organizational, verbal, and written communication skills.
  • Ability to manage time effectively, work proactively, exercise discretion, and maintain a high level of confidentiality.
  • Minimum of two (2) years of office experience is preferred.
  • Self-motivated with the ability to effectively multitask in a fast-paced environment.
  • Strong attention to detail and ability to complete assignments and tasks accurately and in a timely manner with minimal supervision.
  • Valid driver’s license and reliable transportation preferred.

Hourly Wage:

  • $18.00-$20.00 per hour, based on experience.
